For the treasurer

You sign off on it. Here’s exactly where the money goes.

Every payment at your event goes straight into your organization’s own Stripe account. eventCNX counts the sales and never touches the funds. The morning after, the report and the bank deposit tell the same story.

Where the money goes

From a guest’s phone to your bank, with no stop in between.

Each sale is a direct charge on your Stripe account. Your organization connects its existing Stripe account once, and keeps full control of it.

1 · GuestScans and pays

Card, Apple Pay or Google Pay on Stripe’s own checkout page.

2 · Your StripeCharge lands

In your organization’s account, under its name, with Stripe’s receipt.

3 · Your bankPayout

On your Stripe account’s normal payout schedule, as with any other sale.

eventCNXCounts the sale

Reads that the payment happened so the totals are right.

Never holds funds
What it costs

A flat price for the event. Nothing taken from what you raise.

eventCNX

An Event Pass is $149 and covers one event and up to 3 days of selling. A Season Pass is $399 and covers every event for 12 months, including longer campaigns. Paid by card to eventCNX, separately from your event money.

Setting an event up and running a practice night are free. You pay when you open it to guests.

Per sale

eventCNX takes nothing. Stripe’s standard card fee is the only fee on a sale, charged by Stripe on your account as usual.

Your guests

Pay exactly the price you set. There’s no tip screen asking them to add money for the software.

What gets counted

Collected, refunded and net. By product, by volunteer, by pot.

Totals are before Stripe’s fees, so they match the gross amounts in your Stripe Dashboard. Fees show on Stripe’s side as usual.

The winner’s half rounds down to the cent. A payment that arrives after a pot is locked stays out of that pot and is flagged, so you can refund it or settle it with the guest.

Refunds, disputes and the export

Refund in Stripe. The totals follow.

Refunds

Make them in your Stripe Dashboard, full or partial. They come off the totals and the pot on their own.

Disputes

A disputed payment is marked while it’s open. If the dispute is lost, the amount comes off the totals.

Practice runs

Practice nights use pretend payments and are cleared when the event opens for real. They never mix with your real totals.

Who sees what

Totals for your admins. Each volunteer sees only their own sales.

Admins

  • All totals, pots and the CSV
  • Sign in with a one-time email link, no passwords
  • Up to 3 with an event pass, 10 with a season pass

Volunteers

  • Sign in with the event PIN and a first name
  • See their own sales only
  • The PIN only takes payments; it can’t open totals or settings
  • Never get a login to your Stripe account, so there’s nobody to remove after the night

eventCNX support

  • Can open your admin to help, for 30 minutes at a time
  • Every visit is logged and listed on your Admins page
  • Can’t buy passes, change Stripe or add admins

Questions treasurers ask

Does eventCNX ever hold our money?

No. Guests pay your Stripe account directly. eventCNX learns that a payment happened so it can count it; the funds never pass through us.

Whose name is on the guest’s statement and receipt?

Your organization’s, as set in your Stripe account. Guests get Stripe’s standard receipt if they enter an email.

Why don’t the totals subtract Stripe’s fees?

So they match the gross amounts in Stripe and the ticket count at the table. Stripe shows its fees on your account as it always does.

Can we take cash too?

Yes. Keep a cash table if you like. eventCNX counts the card and phone payments; cash stays in your box and your own records.

What if a volunteer cancels a sale the guest already paid?

The payment still counts. The volunteer’s screen says “This one went through”, so nobody sells the same thing twice.

Can we disconnect later?

Yes. Disconnecting removes eventCNX’s access to your Stripe account. Your Stripe account and its records stay yours.

Before your event

Things to check, honestly.

  • A Stripe account in your organization’s nameNot a volunteer’s personal account. If you don’t have one, Stripe walks you through it when you connect.
  • Your state’s raffle and 50/50 rulesThey vary by state, and some need a permit. eventCNX handles the payments and the count, not the permit.
  • ReceiptsGuests get Stripe’s standard receipt. If your donors need a tax receipt with specific wording, send it as you do now.
  • A connection at the venueEach volunteer’s phone needs Wi-Fi or cell data. Run a practice night there first.

Set it up, check it, then decide.

Connect Stripe, build the event and run a practice night with pretend payments. You only pay when you open it to guests.
